How do I test how well my own front desk answers the phone?

By the Margin Media team · Updated

To test your own front desk, call your service business the way a new customer would at the three times it is least covered: 12:15, 5:40 and Saturday morning. Count the rings and write down what you hear. It takes about two minutes, costs nothing, and shows you what a new caller actually gets.

Why those three times?

Those are the times customers are free and your team is not. People phone on their lunch break, which is when your front desk takes theirs. They phone on the way home, as the office is packing up. They phone on Saturday morning, when they finally have a minute and you may be closed.

How do you run the test?

Run it without telling anyone, from a phone your team won't recognise. You are not trying to catch people out. You are trying to hear what a stranger hears.

  1. Call your main number at 12:15 on a weekday and count the rings before anything answers.
  2. Write down what answered: a person, voicemail, a phone tree, hold music or nothing.
  3. Call again at 5:40 the same day and write down the same two things.
  4. Call once more on Saturday morning and note whether a new customer could book.
  5. Leave a message as a new customer on one call and time how long the call back takes.
  6. Fill in your own web form that evening and note when the first reply arrives.

What does the result tell you?

The result tells you where a new customer slips away. A person answering in a few rings at all three times means your phone is not your problem, and you should look at follow-up or no-shows instead. Voicemail at any of them means that hour is costing you callers.

If the phone was answered but nobody offered you a time, the leak is not answering. It is booking, and that is a different fix: what the person who picks up says next.

What does Margin do with the result?

Bring what you heard to the free 30-minute audit. Margin goes through it with you and scores five stages: Found, Answered, Booked, Showed, Came back. The biggest leak is costed from your own numbers.

If the phone is the leak, Mia can answer every call or only the ones your team misses. Bookings land on the portal calendar and the office is told. Texting back missed callers waits on carrier approval of your number.

What Margin sets up for this.

  • Mia, the AI receptionist, on every call
  • Missed calls texted back within a minute
  • Your portal: every call, text and booking

What a business needs is decided on its audit. It is a one-time setup fee and a monthly fee, with exact numbers on the audit.

The Margin portal inbox: every call and text Mia handled, with who needs a call from the team. Sample office with made-up people.

Should I tell my staff before I test the front desk?

Not beforehand, but tell them afterwards and share what you found. The test is about hours a service business leaves uncovered, not about anyone's effort. A front desk at lunch isn't failing. It is at lunch.

How many rings is too many?

There is no official number. A fair rule for a service business is to ask how long you would wait yourself when calling a stranger about a problem. If you would have hung up, so did they.

What if my front desk passes the test?

Then the phone isn't where your service business loses people, which is worth knowing. Look next at leads that asked and never booked, appointments that didn't show, and past customers nobody has contacted.
